Notion template, spreadsheet or HTML kit: which one when
A Notion template, an Excel or Sheets template and an HTML kit are not made for the same job. Where each one is strongest, and which one fits you.
5 min readAn HTML template is a small app packed into a single file. Double-click it and it opens in your browser. No installer, no account, no server. What you type stays on that computer.
Web pages are written in HTML. Most of them come from a server every time you open them. An HTML template does not need one: the screens, the calculations and the guides all sit inside the file.
You keep it in a folder like a PDF or a spreadsheet. When you open it, it behaves like an app.
The file sends nothing anywhere. There is no account and no login, and your numbers never reach someone else’s server. Privacy is not a policy here. It is how the file is built.
No subscription and no licence check. The version you buy keeps working for as long as you keep it, and updates arrive as a new copy of the same file.
On a plane, in a café, when the connection drops. Everything is inside the file, so nothing has to load and nothing makes you wait.
There is no server behind it. If a service shuts down, a price changes or the maker disappears, your file keeps working.
The calculations, rules and guides come built in. You do not write formulas or design a layout. You go straight to the answer you came for.
All your data exports to one JSON file. Keep it in any folder, on a drive or in your own cloud. The same file moves you to a new version or a new computer.
It is easy to think “it’s just an HTML file”. But fitting an app into one file means solving everything a server would normally do, inside the file: saving, calculating, backing up, restoring, two languages and two themes.
Getting there means leaving something out at every step. No frameworks, no scripts loaded from elsewhere, no ads, no tracking. Every line that stays has a job.
The way an ant builds its nest: piece by piece, each piece set where it belongs.
All three get work done, but they are not made for the same work. We marked where each one is strongest, ours included.
| What matters | Notion template | Excel / Google Sheets template | Productive Ant HTML kit |
|---|---|---|---|
| Where your data lives | On Notion’s servers, tied to your account. | In a file on your computer (Excel) or in your Google account (Sheets). | On your computer, in the browser you open the file with. |
| Access from every device | StrongWeb, desktop and phone apps. The same page everywhere, synced for you. | StrongSheets opens on any device; an Excel file travels with OneDrive. | This computer first. Move to another device with a backup file; there is no sync. |
| Working together in real time | StrongShare a page; the team writes and comments at the same time. | StrongSeveral people edit the same sheet at once. | None. It is for one person’s own work. |
| Privacy | An account is required; content sits in the provider’s cloud. | Sheets lives in the cloud; an Excel file can stay local. | StrongNothing goes over the network. No account, no login, no tracking. |
| Offline | Partly. Full use needs a connection. | Excel works fully offline; Sheets’ offline mode is limited. | StrongFully. Everything is inside the file. |
| Account | Required. | A Google account for Sheets, a Microsoft licence for Excel. | StrongNot needed. |
| Cost | Templates are usually a one-off; Notion has a free plan, team features are monthly. | StrongTemplates are a one-off; Sheets is free, Excel comes with a licence or subscription. | Strong$69 once. No subscription, no licence check. |
| Calculations and rules | Formulas and databases exist; complex maths takes setting up. | StrongFormulas are very capable, but deleting one cell can quietly break a total. | StrongCalculations come built in and cannot be broken by accident. |
| Flexibility | StrongBuild anything you like; there are almost no limits. | StrongEvery cell is yours; add any column you want. | Focused on one job. The modules come ready; you don’t change the structure. |
| Getting started | You start with the template’s structure; filling and maintaining it is up to you. | You start with empty rows; keeping it tidy is up to you. | StrongYou start with the answer: guides, sample data and a ready flow are in the file. |
| Connections to other tools | StrongConnects to calendars, chat and automation tools. | StrongConnects to forms, add-ons and other sheets. | None, on purpose. There is no door to the outside. |
| On a phone | StrongHas its own app. | StrongOpens and edits in the app. | Opens in the phone’s browser; no separate app and no sync. |
| How long it lasts | As long as the service and your account do. | StrongA file opens for years. | StrongA file opens for years; there is no server it depends on. |
This comparison describes typical use as of October 2026; plans and features of these products can change. Notion, Excel and Google Sheets are trademarks of their owners.
You work on the same pages as your team, you want every device, and you enjoy building the structure yourself.
You are at home with formulas, you want to shape the sheet your way, and sharing matters.
You run your own time, money or team on your own, you want the data to stay on your computer, and you want a ready, thought-through flow from day one.
Some people use both: team work in Notion, their own notes and numbers in a file.
No. Download the file and double-click it; it opens in your browser. It is no harder than opening a PDF. Nothing to install, set up or code.
If you clear “site data” or “cookies and site data”, your entries go too. That is why the kit makes backups easy: one click writes a JSON file you keep anywhere, and it loads back in one step.
The file opens in a phone browser. There is no sync between phone and computer, so each keeps its own data. Move data from one device to the other with a backup file.
Not at the same time. The practical way is to keep the backup in a shared cloud folder and load the latest one on whichever device you use. If you choose that, the backup lives in that cloud; it is your call.
Because the file sends nothing over the network, it opens without trouble in most places. Some companies restrict downloaded files or local storage, so ask your IT team if you are unsure. Notes about your people stay on your device; keeping them in line with company rules and data protection law is your responsibility.
Every module in all three kits works today. If a module is added during version 1, you download it free from your order page and your backup carries over.
You are buying an app with seven or eight modules, the calculations and the guides inside. You pay once. A monthly planner or budgeting app usually reaches that amount within a few months to a year.
The file keeps working. There is no licence check and no server to phone home to.
